Graduate Student Organization Options
Before moving forward, please understand that there are two types of graduate student groups:
- Formally Chartered Graduate Student Organizations
These organizations complete the full chartering process through Student Activities and are best suited for larger groups, particularly those with national affiliations or outside funding structures. - Recognized GSA Partner Groups
Graduate student groups may become recognized as partner groups of the Graduate Student Association (GSA). This option allows groups (such as departmental groups) autonomy in organizing and running their activities while receiving official graduate student organization status and support through GSA.
Steps to Becoming a Recognized GSA Partner Group
1. Initial Contact and Meeting with GSA (for brand‑new groups only)
- Contact the GSA President and Executive Vice President to express interest in forming a partner group.
- Schedule a meeting with GSA leadership to discuss the proposed organization. Bring documentation detailed in Step 3 to this meeting.
2. Review Organization and Institutional Policies
- Review relevant university and student organization policies, including expectations related to:
- Officers and leadership eligibility
- Advisors
- Events and organizational activities
- This review ensures compliance with Baylor University standards and community expectations.
3. Prepare Advisors, Leadership, Purpose, and Event Planning Documentation
Before meeting with the Graduate Student Association, students should prepare and bring one document that includes the following information:
- Advisor(s):
The name(s) of at least one full‑time faculty or staff member who has agreed to serve as an advisor. - Group Identity and Leadership:
- Proposed name of the GSA sub‑group (partner group)
- Names and email addresses of students who will serve in leadership roles
*You should name and define the roles of officers for your group. Ensure that there is at least one officer responsible for taking meeting minutes. Regular officer meetings, as decided by the team of partner group officers, should take place, and minutes should be recorded at each meeting.
- Purpose, Goals, and Student Support:
- A clear statement of the group’s purpose and goals
- At least three specific ways the group will serve graduate students in the program
- Event and Budget Planning:
- One proposed Fall semester event
- One proposed Spring semester event
- A brief description of each event and an estimated cost
- Any additional event ideas (optional), with estimated costs
This document will be reviewed during the meeting with GSA leadership to determine readiness for recognition.
4. Complete Required Documentation
AFTER you meet with the GSA President and Executive Vice President, please complete the official GSA Partner Group registration and recognition application. Please note that the faculty advisor will be emailed to confirm their awareness of the partner group's petition. If the faculty advisor denies being informed of the partner group's petition or of their role as advisor, the application will be rejected. It is heavily advised that students applying to be recognized as a party group speak with the desired faculty advisor (someone in their department) before initiating the recognition and application process.
5. Await Decision
- Applications are reviewed on a rolling basis by the Graduate Student Association and the GSA faculty advisor.
- If recommended, the organization is classified as an interest group, which allows it to:
- Advertise
- Reserve campus facility space
- Host interest meetings for prospective members
- Utilize GSA access and resources for any events or initiatives planned specifically for graduate students in your partner group
A confirmation decision will be sent via email.
6. Attend Required Orientations and Monthly Assembly Meetings
Once approved, partner groups must remain actively engaged with the Graduate Student Association by attending:
- Department Representative Orientations: At least two officers from the partner group must attend the Department Representative orientation sessions, hosted by the Executive Vice President and the Vice President of Communications.
- One orientation is hosted in the Fall semester
- One orientation is hosted in the Spring semester
- Monthly Assembly Meetings: At least two officers must attend all monthly GSA Assembly meetings, either in person or virtually.
Participation in these required meetings supports effective communication with GSA and is necessary to maintain the group’s recognized status.
